Outlook Integration

Connect your Microsoft Outlook inbox to automatically ingest submission emails into Kantilever.

Prerequisites

  • Microsoft 365 account with Outlook
  • Permission to authorize third-party applications

Connecting Outlook

  1. Navigate to Settings > Integrations
  2. Find the Outlook card and click Connect
  3. Sign in with your Microsoft account
  4. Review the permissions and click Accept

Permissions Requested

Kantilever requests the following permissions:
  • Read mail - Access inbox to monitor for submissions
  • Send mail - Send responses on your behalf
  • Offline access - Maintain connection when you’re not logged in

How It Works

Once connected, Kantilever:
  1. Polls your inbox periodically for new messages
  2. Evaluates intake rules to find matching emails
  3. Processes matches through AI triage and extraction
  4. Updates sync timestamp to avoid reprocessing

Polling Frequency

Kantilever checks for new emails approximately every minute. New submissions typically appear within 1-2 minutes of email receipt.

Managing the Integration

View Status

The integrations page shows:
  • Connection status (Active, Error, Disconnected)
  • Last sync timestamp
  • Any error messages

Reconnect

If the connection expires or encounters errors:
  1. Click Reconnect on the integration card
  2. Re-authorize with Microsoft

Disconnect

To stop email monitoring:
  1. Click the menu on the integration card
  2. Select Disconnect
  3. Confirm the action
Disconnecting does not delete existing submissions or data.

Troubleshooting

Emails Not Being Processed

  1. Check intake rules - Ensure rules match your email conditions
  2. Verify integration status - Look for errors on the integrations page
  3. Check spam/junk - Emails in spam folders may not be processed
  4. Review sync time - Only emails after last sync are processed

Authorization Errors

If you see authentication errors:
  1. Disconnect the integration
  2. Wait a few minutes
  3. Reconnect and re-authorize

Missing Permissions

If Kantilever can’t send emails on your behalf:
  1. Disconnect and reconnect
  2. Ensure you accept all requested permissions

Security

  • OAuth 2.0 authentication (no passwords stored)
  • Tokens are encrypted at rest
  • Automatic token refresh
  • You can revoke access anytime from Microsoft account settings

Multiple Inboxes

To monitor multiple inboxes:
  1. Each team member connects their own Outlook account
  2. Or use a shared mailbox (requires appropriate Microsoft 365 licensing)
Configure intake rules to route emails from different inboxes to appropriate desks.
